General Questions

1. What is Cloud Document Storage?

   This feature lets you store, organise, and access your legal documents securely within your Simply-Docs account.

2. Is Cloud Storage included with my subscription?

   Yes. Cloud Document Storage is included for all Simply-Docs paying subscribers, with limits depending on your subscription level.

3. What file types can I upload?

   You can upload Word documents (.doc, .docx) and PDFs. Other file types may not be supported at this time.

4. Can I organise files into folders?

   Yes. You can create folders and subfolders to keep your documents organised.

Storage Limits & Policies

5. What are the storage limits?

• Single-folder subscribers: 500 MB total storage (shared across all folders).
• Premium and Multi-User subscribers: 2 GB per user, subject to fair use.

6. What happens when I reach the limit?

   You won’t be able to upload new documents. You can still view and download existing files. To upload more, delete old files to free up space.

7. Does storage reset on renewal?

   No. Storage space is persistent. You must manually delete files to create room.

8. What happens if my subscription expires?

• You keep access to stored files for 90 days after expiry.
• Day 30: First reminder to the master user (60 days remaining).
• Day 60: Second reminder to the master user (60 days post-expiry; 30 days remaining).
• Day 85: Final warning to the master user (5 days remaining).
• Day 90: All files are permanently and irreversibly deleted. This includes any documents held within eSign. Deletion cannot be undone.
Notes for multi-user setups:
• Multi-users (sub-users) do not receive reminder emails.
• Multi-user accounts are automatically blocked from access immediately when the master user’s subscription expires.
• The master user can download multi-users’ (sub-users’) documents during the 90-day retention window from the Manage Multi-User page. Please note that, at this time, this includes only those documents in storage, not those held within eSign.

Uploading, Access & Management

9. How do I upload a document?

   Upload from your device in Document Storage, or save a completed document from eSign4Business into your storage area.

10. Can I download stored documents?

    Yes. You can download your stored files at any time during an active subscription and during the 90-day post-expiry window (master user only for multi-user accounts).

Security & Responsibility

11. Are my documents encrypted?

    Documents are stored securely with appropriate technical safeguards.

12. Can Simply-Docs access my documents?

    No.

13. Who is responsible for document backup?

    We apply reasonable technical safeguards, but you should maintain your own backups of important documents.

14. Can I delete documents permanently?

    Yes. When you delete a document from your storage, it is removed and cannot be recovered.

Integration with eSign4Business

15. Can I store signed documents in my storage area?

    Yes. Once documents are signed via eSign4Business, you can save them to your storage area.

16. Do signed documents count towards my storage limit?

    Yes. All uploaded or saved documents—including those from eSign—count towards your total storage limit.
